The catalogue answers important questions about the work of the local association chairpersons and the JCF spokespersons. Taking the answers into account ensures the legal security of the GDCh and its members active in the local associations and in the JCF (Young Chemists Forum), ensures a strong external image and secures the long-term success of the association's activities.

Website

What tasks does the website of a local association or regional forum fulfil?

The websites of the local chapters and the JCF regional forums are an important instrument for the external presentation of regional GDCh activities, but they also serve internal communication. The primary aim of the websites should be to publish up-to-date information about the GDCh events programme on site.

What information should a website contain?

A good website for a regional structure contains the following content
  1. Full contact details of the local chapter chairperson or the spokesperson of the JCF regional forum
  2. GDCh logo, GDCh-JCF logo if applicable
  3. links to https://www.gdch.de, http://www.jungchemikerforum.de and other applicable regional structures (JCF refers to OV, OV refers to JCF)
  4. Current dates of events and lectures organised by the local chapter or the regional forum

What are the minimum formal requirements that a website must fulfil?

According to the German Telemedia Act (TMG), your website must have an easily accessible imprint and its content must not violate applicable law (criminal law, copyright law, protection of minors).

Should I inform the GDCh office about my (new) website?

Yes, please do. The GDCh website contains links to all regional structure pages on the Internet known to the GDCh office. Feedback is requested in order to keep this list up to date

Are there other ways to reach my members in the local association or regional forum?

Yes, because all local chapter chairs and JCF regional spokespersons have access to a mail tool in the MyGDCh section of the website that automatically sends e-mails to all members in the regional structure. In the same area, addresses can also be obtained in Excel format for postal contact. The data protection regulations must be observed here.

What does the legal notice have to look like?

The legal notice is the legally required indication of origin, which must be easily recognisable, directly accessible and permanently available. It contains information about the operator of the website (Sections 5, 6 TMG). The operator of an independent local association or JCF website is - as long as there are no side agreements with the GDCh office - the local association chairperson, the JCF regional spokesperson or the JCF regional spokesperson. use this template to create your own imprint:

Where does the legal notice belong? The legal notice should be public and easily accessible (no more than two clicks away) on the website. Usually in a margin bar at the bottom of the page.

Do I need a webmaster?

The webmaster deals with the planning, graphic design, development, maintenance, marketing and administration of websites. This makes them the first point of contact for technical problems. It is therefore recommended to appoint a reliable webmaster.

Who is responsible for the content?

The local chapter chairperson or the spokesperson of the JCF regional forum or another natural person to whom editorial responsibility has been transferred is responsible for the content of the website.

What are the duties of the person responsible for content? The person responsible for content assumes the tasks of an online editor who ensures that the published texts and works comply with applicable laws (criminal law, copyright, protection of minors). This person should clearly recognise the duties assumed.

Do I need a content management system?

Content management systems are used for the collaborative creation, editing and organisation of content on websites. They simplify responsibilities and harmonise workflows. The use of such a system is strongly recommended to make it easier for subsequent function holders and partners to publish content. The most widely used content management systems are all open source software (i.e. open source and therefore free of charge). Examples include WordPress, Joomla, Drupal and Typo3.

Do I need a contact person?

To make your work easier, you can appoint a contact person who is available to answer organisational or content-related questions from visitors to the website. The contact person does not replace the person responsible for the content.

What do I need to bear in mind when using social media?
  1. Be authentic - The value of the social media mindset is diminished when users hide behind synonyms. Identify yourself to give your posts more weight and show that you are speaking for yourself and not for the GDCh.
  2. Be honest - Tell the truth and if you realise you have made a mistake, make it clear.
  3. Obey the law - Respect the rights of others and their intellectual property.
  4. Respect your audience/readers and be courteous - Simply transfer the professional norms and standards of the GDCh to social media platforms.
  5. Preserve trade secrets and other confidential data - Do not publish confidential information of the GDCh and its partners and members. If you are unsure, contact the Public Relations Department.
  6. Separate opinions from facts - and make it clear so your audience can see the difference.
  7. Add value - Contribute quality, not quantity.
  8. Be interested and informed about others' contributions - Read others' contributions to know what the current discussion is and how you can bring new perspectives.
  9. Don't provoke an argument - If you see misrepresentations or obviously false statements about your local chapter or the JCF (JungesChemieForum), you may want to dispel those false statements. Stick to the facts and make sure they are publicly available.
  10. Protect your privacy - Do not disclose any personal information about yourself.
  11. Do not make false, misleading statements about your local chapter or regional forum. Even if you have a personal social media account, be aware that your statements may be seen as indicative of the internal view of the local chapter or JCF (JungesChemieForum) and ultimately the GDCh.
  12. Refer media enquiries to the GDCh Public Relations Department.

In which cases do I have to take copyright into account?

Copyright law protects the rights of authors of creative works (e.g. texts, speeches, music, images, photos, art of all kinds, scientific and technical illustrations). This means that you must always pay particular attention to copyright law when you use works by other people and institutions, or even just small parts and modifications of them, for your own purposes.

When am I infringing copyright?

If you publish copyright-protected works, such as texts, speeches, music, images, photos, art of all kinds, scientific and technical illustrations, without authorisation, you are infringing the rights of the copyright holder. Always obtain written permission before publication.

What do I need to bear in mind when publishing photos? There are basically two legal hurdles to consider when publishing photos: (1) The author of the photo must have authorised you (in writing) to use their photo. (2) If the subject is a small number of easily identifiable people, you must obtain their (written) permission for publication, as otherwise you are violating their personal rights. In the case of children, parents must give their written consent.

In which cases do I have to observe personal rights? Always when publishing image and film material that shows another person. Only publish these materials if you have received their express (written or witnessed verbal) permission to do so. Make sure that the authorisation covers all the uses you wish to make of the material, e.g. publication on the internet, on flyers, in conference proceedings.

What should the disclaimer, terms of use and data protection notice on my website look like? The use of a disclaimer and terms of use is not necessary. General disclaimers are regularly considered invalid by courts. It is more important to provide information about the type, scope and purpose of the collection and use of personal data in the data protection notice.
Please download the data protection notice as a cloze, fill it in and place it on your website.

GDCh logo and appearance

Are there design specifications on the part of the GDCh office?

The GDCh Head Office does not make any specifications regarding the appearance of the websites in general. In particular, however, the use of the correct GDCh logo and the correct GDCh colours is expected.
